THE POSITION: Provides administrative
support for the Senior & Disabilities Services Division programs and
staff generally and the Developmentally Disability program and staff
specifically. Essential functions: Design, compose and word
process complex correspondence, graphics, and reports
as directed using the computer; types
data accurately. Uses Microsoft Word, Excel and Access to complete
assignments. Operates specialized databases and spreadsheets; orders
and maintains general office and specialized supplies. Consults with
program staff; responsible for workflow and communication coordination
and support; attends meetings and prepares minutes; provides assistance
to Advisory Council and related committees. Provides support to general
public, volunteers, volunteer stations, co-workers. Screens callers and
visitors and responds appropriately. Interprets information to the
public and other divisions/programs in order to provide assistance,
exchange information and solve problems. Assists with the preparation of
the Division’s annual budget for the Developmental Disabilities
Program. Performs complex data entry on the Department’s management
information system and is back-up to Senior Service’s Office Manager for
payroll processing. Independently researches, compiles and summarizes
information for reports or to resolve issues or problems. Prepares
information for inclusion into reports. Requires regular and
consistent attendance.
SALARY RANGE: $10.29 - $11.81 per hour
plus excellent full-family
benefit package, OPSRP retirement and availability of deferred
compensation retirement savings.
MINIMUM QUALIFICATIONS:
Three years work-related support experience of a progressively
responsible nature OR a satisfactory equivalent combination of
education, experience and training. Requires a valid Oregon driver’s
license at time of appointment.
In addition to the above requirements,
applications will receive further evaluation based on considerable
knowledge of customer service, methods of general office practices
and procedures; considerable knowledge of record keeping and reporting;
considerable knowledge of bookkeeping principles; considerable knowledge
of word processing, spreadsheet and data base software capabilities.
Skill in report writing and composing correspondence; typing rapidly
and accurately; use of complex office equipment, which includes
automated equipment and systems; processing information on a computer.
Ability to communicate effectively in both oral and written
forms; in cooperation with the division’s office manager, plan and
organize office operations, including helping to develop office systems,
policies, and procedures; plan, organize, assign, coordinate, and review
work of staff; establish and maintain records, reports and statistical
data; make decisions independently in accordance with established
policies and procedures; use initiative and judgment in completing tasks
and responsibilities; represent department or division in a variety of
settings; maintain confidentiality; courteously meet and deal
effectively with other employees, other agency representatives, advisory
boards, committees, vendors and the public.
DRIVING RECORD:
applicants selected for interview will be required to bring to the
interview a Court Print driving history obtained from the DMV. Please
allow 5-7 days for delivery; longer for out of state.
CRIMINAL BACKGROUND
CHECK:
The finalist for this
position will be made an offer of employment, contingent upon passing a
full criminal history record check in accordance with OAR Chapter 407,
Division 7. A disqualifying event determined by the State of Oregon,
will result in denial or termination of employment.
BACKGROUND INVESTIGATION/RECORD CHECK
AUTHORIZATION: Because
this position is responsible for cash handling, the finalist will be
subject to a background check including, but not limited to, credit,
criminal (LEDS), judgments, etc.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
Work is performed in an office environment and is generally sedentary;
requiring bending, hearing voice conversation and alarms, keyboarding,
kneeling, lifting up to 34 pounds, operating passenger vehicles,
pulling, standing, reaching, sitting, and walking.
PHYSICAL EXAMINATION:
Offer of employment is contingent upon successful completion of a
pre-employment chemical detection screen conducted at County’s expense.
